    YourCoach is a practice management platform uniquely powered by health coaches and designed as a virtual home for all kinds of health and wellness coaching services.

    It empowers its partners to establish, scale, and operate effective programs that deliver tangible results. Through the YourCoach platform, the growing community of health and wellness coaches utilizes advanced tools to help patients achieve their goals through science-backed methodologies.

    This solution is in high demand in the post-COVID world to support professionals such as trainers, coaches, nutritionists, and psychotherapists in providing their services online.

  • Business challenge

    The health coaching platform initially prioritized a B2C collaboration model, where coaches were directly connected with clients. A significant challenge emerged with the shift towards targeting the B2B segment: the system could not accommodate such a transition.

    This lack of relevant processes and scalable solutions hindered the company's future growth and expansion in the new conditions.

    The trigger for the necessary platform changes came with the client's partnership with Twill, The Intelligent Healing Company™. Twill had signed a contract with another company to provide similar services, including mental health coaching for that company's employees.

    In the B2B market, a critical feature of software systems is their ability to seamlessly embed into existing software, simplifying the complexity of multi-system usage and providing a native experience for current users.

    Faced with design and system constraints, YourCoach sought consultancy from Binariks' professionals to meet this crucial requirement, breaking into the B2B space and unlocking potential business growth.


  • Approach

    To achieve our objective of integrating the YourCoach system into Twill and contribute to solving the central business challenge, we've taken the following steps:

    • Assembled a team of specialists well-equipped for the task, including three backend developers, three frontend developers, a business analyst, a DevOps engineer, a QA specialist, an architect, and a designer, led by the project manager.
    • Identified the critical phases of tackling the tasks and set up additional meeting agendas to clarify all requirements and details.
    • Framed the problem and created a work breakdown structure (WBS).
    • Started the execution of the project.

    As the project started, our approach involved integrating into Twill's native app via an iFrame to display our widget as a responsive webview. This setup ensured that users accessing Twill's mobile app could interact with YourCoach seamlessly.

    We also set up a separate instance for B2B integrations to keep different clients' databases and data distinct, enhancing security and operational efficiency. This allowed coaches and admins to easily switch between different customers within the same system, fostering an environment for a more straightforward B2B onboarding process and continued growth.

  • Implementation

    We incorporated the following features to bring Binariks' vision to life:

    Set up separate instances with chat/calls/document exchange capabilities without defined requirements.

    • Created basic analytics dashboards from scratch, displaying key metrics such as the number of clients per coach, interaction frequency, and other relevant data with the perspective of adding the analytics feature.
    • Established a Secure File Transfer Protocol (SFTP) for generating and delivering approximately ten reports daily and monthly. First, it was conducted manually, and then we automated the monthly report generation process. These reports include data on time end-users spent with coaches, frequency of messaging, number of live sessions, session cancellations, and other information that may be useful for both analytics and billing purposes.
    • Modified coach and admin side of the platform, adding extra features to enhance functionality and user experience.
    • Developed a custom calendar feature allowing coaches to set availability time slots, similar to Calendly, but taking into account the platform's specifics. It enabled booking, canceling, and handling of session appointments efficiently and helped coaches manage their availability, which is also reflected in the reports.

  • The rapid transition to the B2B collaboration model, while avoiding logistical bottlenecks, enabled the client to broaden its market reach. And through automating client onboarding processes, Binariks helped the client improve operational efficiency, resource allocation, and customer satisfaction.

    This strategic transformation not only facilitated seamless integration with Twill but also set the stage for future connections with any other systems, positioning the company for substantial growth.




  • We supported the client's expansion into the B2B realm and enabled potential business growth by delivering:

    • Streamlined support for the B2B model through automated client onboarding.
    • Centralized management, billing, and analytics for enhanced efficiency.
    • Capability to share tailored reports for individual business accounts.
    • Seamless integration with third-party systems through embedded support and white-labeling features.

    Our collaboration with YourCoach started in February 2022. After completing the active development phase and successfully rolling out changes to production, the Binariks team transitioned into the maintenance phase. This phase included monitoring, minor feature changes, and supporting B2B client onboarding for the next three months, till January 2023.
